This describes NOM’s current behaviour and proposed service terms. A qualified legal reviewer must review it before publication. It is not a claim of verified legal compliance.
Terms of Service
NOM is operated by iNTELLiGENTDESiGNSTUDiO, ABN 63 322 083 928, in Sydney, NSW, Australia. NOM helps people prepare agendas, record Notes of Meeting and manage project responsibilities. You remain responsible for checking the accuracy of your records and deciding who may access them.
You are responsible for the content you create, enter, upload, share and distribute. You must have permission to include personal, confidential or sensitive information and authority to share it with the people you select. Consider whether NOM is appropriate for the sensitivity of that information.
You keep the rights you already have in your content. You permit NOM to host, copy, process and display it only as needed to provide, maintain, secure and support the service, follow your authorised instructions and meet applicable legal obligations.
Protect your sign-in details, authenticator and recovery codes. Do not share your account credentials. Report suspected unauthorised access promptly. We may restrict access where reasonably needed to protect people, accounts or the service. We do not promise uninterrupted availability or recovery of information that has been permanently removed. Nothing in this draft is intended to exclude rights or remedies that cannot lawfully be excluded.
New account holders must actively accept the Terms of Service and Privacy Policy. NOM records the policy version and acceptance date against the account. Material updates require a new version and an in-application notice asking existing users to accept before continuing. If you do not agree, you may sign out and contact us about your information or account.
Privacy Policy
We handle account identity, profile details, project content, participation records, subscription information and security information needed to operate NOM. Account authentication is handled by our authentication provider. NOM records recent service activity and the latest IP address supplied by the hosting service; the administration interface hides that IP after 30 days.
Content stored in NOM’s online service is used only to provide, maintain, secure and support NOM. It is not sold, rented, used for advertising, profiling, external commercial purposes or model training.
We share customer content only where you choose to share it, where a necessary service provider processes it on our behalf, or where disclosure is required or permitted by law. Relevant providers include authentication, hosting and payment services. This draft does not promise that all processing takes place in Australia.
Authorised internal staff may access account and project data only when reasonably required for support, security, recovery, legal obligations or service operations. Website Administrator access requires MFA, recent re-authentication, a support reason and recorded access. Customer project inspections are read-only; recovery, export and account changes use separate controlled actions. Ordinary project administrators cannot access the customer-administration portal.
Where the Australian Privacy Act and Australian Privacy Principles apply to NOM, we aim to handle information in accordance with those requirements. We use the Principles to guide our privacy practices without claiming independently verified compliance. Users outside Australia may have additional rights depending on their location. See the OAIC’s Australian Privacy Principles.
User Rights and Information Agreement
An email invitation applies only to the specified project. Accepting it does not require payment, a subscription or any financial commitment. Owning your own projects is a separate choice subject to your own account’s limits and billing.
Use the invited email address, verify it and complete authenticator-app MFA with recovery codes. If you already have an account with that verified email, use that account. New invitation acceptance remains unavailable in the current preview; creating or receiving an invitation draft does not grant access. Invitation links expire after seven days, may be revoked, and are replaced when a new pending invitation is created for the same project person.
- Viewer: may view permitted project content but cannot edit.
- Participant: may edit only assigned items and notes in unissued documents.
- Administrator: may manage and edit the assigned project.
Permissions are project-specific. Hosts cannot use an invitation to discover your unrelated projects or other hosts’ invitations. Only project administrators can view or change other people’s permission assignments. Hosts may change or remove project access. Issued-document locks and completed-project and archived-meeting restrictions still apply.
A private viewer link is different: anyone holding it may read only its permitted content without an account. It creates no participant profile or Projects-list entry and grants no access to other projects. Keep these links private and share them only with authorised recipients. They expire or may be revoked.
Your name, company and contributions are visible where project permissions allow. You may update your profile without changing roles or responsibility assignments. Issued records retain their original identity information. Contributions may remain in the project after your access ends, under the retention rules below.
Acceptable Use
Use NOM lawfully and responsibly. Do not use it for abuse, harassment, threats, exploitation, terrorism, encouragement of self-harm, serious illegal activity or conduct creating a credible risk of serious harm. Do not bypass permissions, impersonate others, misuse invitations or interfere with the service.
When an online project is saved, NOM checks text for a small set of explicit harm-intent phrases. A match creates an excerpt for authorised human review. It is not proof of a threat and does not automatically suspend an account or contact authorities. Review activity is recorded; the excerpt is removed when the deleted project is permanently purged.
NOM may preserve or disclose relevant information when required or permitted by law, including lawful requests or credible threats of serious harm. Recipients may include appropriate authorities, emergency services or others permitted by law. We seek to limit disclosure to relevant information. Confidentiality cannot be promised where lawful disclosure is necessary.
Data Access, Retention and Deletion
Active projects remain stored while the project and account are available. Free accounts have one active project and may delete it and start another. Completed projects are a Paid feature and remain read-only until restored or deleted; there is no automatic expiry date. There is no separate project Archived state. Existing Free-account history is preserved read-only until upgrade or deletion. Individual meetings may still be archived under their existing access rules.
Deleting a project removes normal access and revokes invitations and non-coordinator access. Owners or authorised Website Administrators can retrieve it for 30 days, subject to account limits. Recovery does not automatically restore old participation links. A Free account cannot recover a project while another active project occupies its one slot; the user must manage that project or upgrade. NOM does not automatically delete or replace the current project.
After 30 days, deleted content is no longer recoverable and becomes eligible for permanent removal. Removal runs when the relevant retention process next operates, not at a guaranteed exact time. Minimal identifiers, deletion dates, billing records and audit history may remain for accurate records, security and prevention of unintended restoration. This draft does not promise a fixed removal date for account or billing records.
Online project records and deleted-project recovery data are stored in the service. NOM does not currently provide automatic historical project snapshots or rollback. Paid project administrators can download project JSON backups; authorised Website Administrators may export a stored project backup for documented support. PDF and CSV exports remain available under their existing permissions. You control the storage, protection and removal of downloaded files; NOM cannot revoke copies outside the service.
Legal or safety obligations may affect retention. Contact us for access, correction or deletion requests. We may need to verify identity and authority and explain what can be changed, removed or retained, including contributions to another host’s records.
Payments and Subscriptions
Current workspace pricing is in Australian dollars, excluding GST. One active project and five named people are included free. Each additional active project is A$3.30 per month; each additional named person is A$1.10 per month. Applicable GST is added. People are counted once across the entire workspace, not once per project: the same email-linked person invited to several projects uses one place. Private viewer links carry no named-person charge.
Billing follows recorded usage over the UTC calendar month. The account shows estimates, earned charges and receipts where available. Completing or deleting a project, or removing a named person, stops future usage charges for that item; it does not erase charges already earned in the month. Restoration and reactivation remain subject to billing and account rules.
Paid billing must be enabled before adding paid capacity. Free users cannot complete projects, restore completed projects or download local project backups. Paid users can use these features and add projects and people at the applicable usage charges. Paid billing remains unavailable until secure billing and tax configuration are ready.
Where enabled, payment-method setup and billing management use Stripe-hosted pages. NOM does not store full card details. Saving a payment method authorises the described monthly usage charges but does not itself incur a usage charge.
There is currently no general self-service cancellation action in NOM. Contact support to arrange cancellation or resolve an older subscription. Where a Stripe billing-management link is available, it shows the controls configured for that billing account. Do not assume that deleting a project closes an account, cancels a subscription or removes amounts already due.
Payment failure or removal of paid entitlement can block further paid capacity and Paid-only actions. Existing records are not automatically deleted solely because paid entitlement ends; existing project permissions, document locks and retention rules continue. Cancellation does not guarantee ongoing Paid features or erase outstanding charges. Contact support for your account’s status, billing questions or refund requests; this draft does not create an unverified refund guarantee or limit applicable consumer rights.

Describe your request and the relevant account or project. Do not send passwords, MFA codes or full payment-card details. We may verify your identity and authority before disclosing or changing information. We will review your concern and explain the available next steps. You can also consult the OAIC’s privacy complaints guidance about external complaint options where applicable.
